Invited as a co-host or manager
You run somebody else's properties day to day. What you can do, what stays with the owner, and the shortest path to being useful on day one.
You have been added to a workspace as a co-host. In practice that means you run the operation and the owner keeps the keys to the money and the configuration.
There is no separate “property manager” role and you do not need one — a co-host scoped to certain buildings is a property manager.
Your first hour
Section titled “Your first hour”- Accept the invitation from the email, creating an account if you do not have one. Your login is yours and works across every workspace you are invited to.
- Set your own language and timezone — Your account. These follow you, and they are separate from the workspace’s.
- Read How Santara AI is put together. Six words — workspace, property, room, rate plan, listing, connection — and every screen stops being mysterious.
- Open Today. The daily brief is the job. Everything else is where you go when the brief sends you there.
Then follow Your first week, which is the actual working rhythm.
What you can do
Section titled “What you can do”Effectively the whole operation:
| Area | What you have |
|---|---|
| Guests | Read and reply to every conversation, send messages, reply to reviews |
| Bookings | Create, change and cancel stays; block and open calendar dates |
| Cleaning | The whole board — assign cleans, complete them, run the clusters |
| Maintenance | Open, assign and schedule tickets |
| Access | Read and set door codes, wifi and access notes |
| Upsells | See opportunities and send offers |
| Money | Read reports, payouts and the accounting ledger, and record costs |
| Owners | See owner statements |
| Templates | Write and edit the saved guest replies everyone uses |
What stays with the owner
Section titled “What stays with the owner”You will find these are read-only, and it is deliberate rather than an oversight:
| You can see | You cannot change | Why |
|---|---|---|
| Rates and prices | Publish prices or edit rule sets | A pricing mistake sells real nights at the wrong price |
| Workspace settings | The brief hour, language, currency, tone | Those apply to everyone — changing them re-times the morning for the whole team |
| The team list | Invite people or change roles | Access is the owner’s to grant |
| Channel connections | Connect, disconnect or go live | Handing a calendar to a channel is the owner’s decision |
| Billing | The plan or the card | It is their money |
If you need one of these, ask the owner to do it or to move you to host admin — which gives you everything, including billing. There is no half-step between the two, on purpose.
The five things worth doing in week one
Section titled “The five things worth doing in week one”- Fill in the stay information for every building you run — wifi, door code, access notes, check-in times. Guest messages and the booking site both read from it, and half of all guest questions are answered by it. See Stay information.
- Set up the cleaning clusters so the daily brief writes one WhatsApp message per cleaner rather than one per property — Cleaning clusters.
- Write the message templates the owner keeps re-typing — Message templates.
- Clear the review backlog. On Airbnb neither review appears until both are written, so an unreturned guest review is money left on the table — Reviews.
- Work the upsell list once. Late checkouts and single free nights beside a stay are the cheapest revenue in the business — Upsells.
Working with the owner
Section titled “Working with the owner”- Notifications are addressed by who can act on them, not by name. You will start receiving the ones your role is responsible for without anybody re-pointing anything at you.
- The daily brief is written in the workspace’s language, not yours. If the team reads Indonesian and you work in English, that is the intended outcome — your interface stays English.
- Everything you do is attributed to you and stays attributed after you leave. That protects you as much as them.
If a screen refuses you
Section titled “If a screen refuses you”That is your role, not a bug. Check first that you are in the right workspace — the account menu says which one. Then ask the owner; only they can widen it. See Team and roles.
